July 7th, 2009 Making or Breaking an Audio Conference

The convenience of an audio conference is great. There is no travel, no meet and greet with colleagues over cocktails. Audio conferences save time and money, allowing businesspeople to work effectively as well as efficiently. How does a person make or break an audio conference? Follow these do’s and do not’s to have a great audio conference experience.

DO:
*Log in to the call a few minutes early.
*Mute your phone so other participants can’t hear your office’s background noises.
*Have a word document or paper and pen ready so you can take notes.
*Ask relevant questions when the floor is opened to questions and comments.
*Follow up with the appropriate party within an hour after the call with any unanswered questions or to provide any information that was requested during the call.

Don’t:
*Log in late- if you are unable to make the call in time, have a staff member attend on your behalf.
*Come to the call unprepared. Bring notes, and something to write on to take further notes
*Make comments outside of the question and answer segment.
*Sneeze, cough, speak with others in your office, or chew food while your phone is unmuted.
*Make political, religious, racial, or other highly opinionated statements during the call.
*Hang up before the end of the call, the facilitator will notice and it will give a negative impression.

There is never a second chance to make a first impression and industries become smaller all the time, with globalization of businesses. Follow the above guidelines to make a positive impression on every call, every time to experience success in audio conferences and your career.
